In-house assembly wins when you have under ten joiners a quarter, one office and no apparel: buy a bottle and notebook, add a card, hand it over. A vendor wins as soon as any of these appear — logo branding (which needs a run, not a retail purchase), apparel sizes, remote joiners, several offices, or more than about 25 kits a quarter — because the cost that sinks in-house kits is not the items, it is the hours: sourcing five SKUs from five sellers, storing cartons, chasing sizes, packing and booking parcels. When is in-house the right answer?

  • Fewer than ten joiners a quarter, one office, no remote hires.
  • No logo on the items — a card and a plain bottle is fine for you.
  • You already hold stock of a company tee and notebook.
  • The kit is a gesture from the team, not a programme.

When does a vendor pay for itself?

At roughly 25 kits a quarter, or the first time a kit has to reach a remote joiner's home or a second office. The saving is the admin hours and the failure modes — a wrong-size hoodie, a kit that arrives a week after day one — not the unit price. If you are unsure, price the kit on the deck (free) and compare it against what the last in-house wave cost including the hours.

Is it cheaper to buy welcome-kit items separately and pack them ourselves?

For a handful of unbranded kits at one office, yes. Once branding, apparel sizes, remote joiners or 25+ kits a quarter are involved, the admin hours and MOQ walls make a vendor cheaper in practice.

What do we lose by going in-house?

Consistency (five sellers, five bottles), branding (retail items can't be logoed at small numbers), and time — sourcing, storing, packing and booking parcels every wave.
